Job description

We are seeking a highly organized and proactive Office Manager & Operations Specialist to oversee daily operations, support our expanding team, and contribute to the company's success as we grow globally. This role is critical to ensuring the smooth functioning of office processes and supporting People & Culture initiatives.

Job requirements

Key Responsibilities:

Office Management:

  • Oversee office facilities and supplies, ensuring a professional and welcoming workspace. (Kitchen, stationery, hardware, cleaning, etc.)

  • Manage vendor relationships and procurement processes for office needs. (Yoga, cleaning, other supplies)

  • Coordinate with IT and other departments for equipment and tools procurement

  • Handling incoming/outgoing deliveries and welcoming & guiding visitors 

  • Planning and execution of vendor/facility upgrades and changes to optimize employee happiness and cost working closely with the People and Culture Team

Event Organization:

  • Plan and execute internal and external company events, including team-building activities, workshops, and corporate gatherings

  • Coordinate logistics for events, ensuring a seamless experience (vendors, services, catering, special needs, etc

  • Managing branded & representative gifts and materials

People & Culture (HR) Support:

  • Assist in onboarding new hires, ensuring they have a smooth start.

  • Assist in employee benefit administration (AYCM, English Lessons)

  • Support employee engagement initiatives in collaboration with the HR team

Process Optimization:

  • Map workflows and optimize processes to improve efficiency 

    • Eg. procurement related request and invoice tracking flow, 

    • managing ad-hoc requests and priorities, 

    • improving internal booking systems such as meeting rooms or parking spaces, 

    • streamlining the procurement process by consolidating orders with a reduced number of preferred vendors

  • Document and communicate procedures to relevant stakeholders

    • publishing process updates on our internal channels and educating the team about simplified processes

Operational Support:

  • Collaborate on cross-functional projects, particularly those involving expansion into new markets (e.g., Germany and the US)

  • Maintain key documentation and track metrics related to operations and recruitment

Qualifications:

  • Experience: Minimum 3-5 years in office management, operations, or a related role

  • Skills:

    • Strong organizational skills,

    • able to multitask,

    • structured way of thinking,

    • able to detect process optimization opportunities and figure out multiple solutions

    • eager to act as a project manager with office related processes

    • strong problem-solving skills

  • Tools: Familiarity with Google Business Suite,  MS Office, Slack 

  • Familiarity with Jira, Coda or other project management tools would be an advantage

  • Languages: Fluency in English & Hungarian
